The first thing you set up is your operating schedule. Select your working days, set open and close times, add any restricted hours (breaks, shift changes), and block out dates for holidays or maintenance. These rules are enforced automatically — suppliers can never book outside your windows.

Add each bay in your warehouse — name them whatever your team already uses. Toggle bays active or inactive in one click. Inactive bays disappear from the supplier booking portal automatically, so no manual communication needed when a bay goes out of service.

Add each supplier to DockSync — enter the company name and contact details. Each supplier receives an invitation email containing their unique booking token. This token is what gives them access to your specific booking portal — no shared login, no visibility of other suppliers.

The supplier clicks their booking link and lands on your portal. They enter their token, select a date, choose their time slots in 30-minute windows — selecting multiple for longer deliveries — enter pallet count, and upload their delivery documentation. No login required on their end.

The warehouse admin receives an email notification and sees the booking appear as a Pending Action on their dashboard. They can review the full details — supplier, bay, pallet count, time slot, delivery document — and approve or reject with one click. The supplier is notified immediately either way.

The driver arrives at your gatehouse and scans your unique QR code with their smartphone — no app required. They enter their name, vehicle registration, and booking token. The system matches the scan to their booking, confirms their bay, and logs the exact arrival time. Automatically.

The moment the driver checks in, the warehouse admin's dashboard updates live. A notification appears in the bell icon. The booking row shows the driver name, vehicle registration, and arrival time. The admin clicks the green tick to mark the unload as complete — all metrics update instantly.

Every delivery is tracked automatically. The Reports section shows on-time percentage, completion rate, total deliveries, and last activity for every supplier in your network. Click any supplier to see their full delivery history — booking by booking, with driver names, check-in times, and unloading durations.
