A complete, step-by-step walkthrough of DockSync — the same journey a new warehouse team follows on day one. Set up your schedule and bays, invite suppliers and carriers, take bookings, check drivers in by QR, text them from the dashboard, mark loads complete, and manage every supplier on real performance data. Each step takes a minute or two, and DockSync guides you the whole way — you'll be set up and taking bookings before you know it.

You're invited.
Set up your account
Your DockSync journey starts with an invite. As soon as your account is created you receive a welcome email with a personal setup link. Click it, create a password, and you land straight on your dashboard — no installs, no IT ticket, no card required.
What happens next
The link opens a password screen, then drops you on your dashboard. From here the setup takes minutes: set your hours, add your bays, invite your team, then invite suppliers and carriers.

Step 02
Set your
operating schedule
First, tell DockSync when your dock is open. Choose working days, set open and close times, add restricted hours like breaks and shift changes, block out holidays and maintenance days, and set how far ahead suppliers get an automatic reminder. Every rule here is enforced automatically — suppliers can only ever book inside your windows.

Add your
dock bays
Add every bay in your warehouse and name them exactly as your team already does (B1, B2, and so on). Flip a bay active or inactive in one click — inactive bays vanish from the supplier booking portal automatically, so there is no phone call needed when a bay goes down for maintenance.

Add your
team
Bring your colleagues in under the Users tab. Add warehouse admins who manage the schedule and approvals, and gate or goods-in users who handle arrivals on the day. Everyone works from the same live board, so the office and the gatehouse always see the same picture.

Roles shown are an example. Confirm the exact role names and permissions available on your plan against your live Users tab.

Invite your
suppliers & carriers
Add the companies that deliver to you and the carriers that collect from you. Each one gets an invite email with a unique booking token — that token is their key to your booking portal. No shared logins, and no supplier can see another supplier's activity.

They book a
delivery or collection
The supplier or carrier opens their link, chooses whether it's a delivery or a collection, picks a date, and selects one or more 30-minute windows for longer jobs. They add a pallet count and upload paperwork. There is no login on their side — the token does the work, and your rules are enforced the whole way through.

How the portal works
Suppliers and carriers only ever see windows that fit your operation. Anything outside your operating hours, inside a restricted period, on a blackout day, or on a fully-booked bay is hidden automatically — so they can't book something that doesn't work for you.

Every request lands as a Pending Action on your dashboard, and you get an email too. Open it to see the full picture — company, type, bay, pallet count, time slot and paperwork — then approve or reject in one click. The supplier is notified immediately either way.

Driver arrives.
QR check-in.
Print your unique QR code, laminate it, and put it at the gatehouse. The driver scans it with any phone camera — no app to download. They enter their name, vehicle registration and booking token; DockSync matches it to the booking, confirms the bay, and logs the exact arrival time automatically.
Download the code from My Account → QR Code. One code covers your whole site — every scan is matched to the driver's booking token.

Text the driver
from the dashboard
The moment a driver checks in, a text button appears next to their booking under Actions. Tap it to send an SMS straight to the mobile number they entered at the gate — tell them which bay to pull onto, ask them to wait in the marshalling area, or let them know you're running behind. No radios, no walking out to the yard.

The text action is only available once a driver has checked in — that's how DockSync has their mobile number to message.

When the job's done, hit the green tick next to the booking in Bookings. That marks the delivery as unloaded (or the collection as collected), stamps the completion time, and records the turnaround. Your KPIs, bay availability and supplier stats all update instantly — no separate paperwork.

carriers on real data
This is where it all pays off. Click any company in the Suppliers tab to open their full record — total bookings, completed deliveries, missed slots, and a booking-by-booking history of both deliveries and collections, with drivers, bays, unloading times and check-ins. Walk into a supplier review with the numbers already in front of you.
